Terms of Service

These terms govern your use of Treetask (the “Service”), a job management application for tree surgery businesses, operated by Treetask Ltd(“we”, “us”). By creating an account or using the Service you agree to these terms.

1. Your account

You must provide accurate information when creating an account and keep your login credentials secure. You are responsible for all activity under your account and for the actions of team members you invite. Accounts are for use by tree surgery and related arboriculture businesses.

2. Your data

The business records you create in the Service — customers, site surveys, quotes, jobs, invoices, photographs and documents — belong to you. We store and process them solely to provide the Service, as described in our Privacy Policy. You can request an export or deletion of your data at any time by contacting us.

3. Data processing

For the personal data inside your business records — your customers’ names, contact details and site addresses, your team’s details, and any incident records — your business is the data controller under UK GDPR and we act as your data processor. This section is our data processing agreement with you, and it applies automatically for as long as you use the Service.

As your processor, we commit to the following:

Instructions. We process this data only to provide the Service as you use it, and never for our own purposes. We do not sell it, use it for advertising, or use it to train AI models.

Confidentiality and security. All data is encrypted in transit and at rest, access is isolated per business at the database level, and access on our side is limited to what operating the Service requires.

Assistance. If someone exercises a data protection right against your business (access, correction, deletion and so on) and the data is in the Service, we will help you respond — the built-in export and deletion tools cover most cases, and we handle the rest on request.

Breach notification. If we become aware of a personal data breach affecting your data, we will notify the email address on your account without undue delay, with what we know about what happened and what we are doing about it.

Return and deletion. You can export your data at any time from Settings. If you close your account, we delete your data within 30 days, except where the law requires longer retention.

Subprocessors. We use a small number of providers to run the Service, listed with their roles in our Privacy Policy: Supabase (database and authentication, hosted in the EU), Vercel (application hosting), Cloudflare (photo and document storage), PowerSync (offline data sync), Resend (email delivery), Sentry (error monitoring) and Anthropic (note transcription and the help assistant, only when you use those features). We will notify account holders by email before adding or replacing a subprocessor that handles your data; if you object, you may export your data and close your account before the change takes effect. Where a provider processes data outside the UK, the transfer relies on UK-approved safeguards (an adequacy decision or the UK Addendum to the Standard Contractual Clauses).

Third-party services you choose to connect yourself, such as QuickBooks, are not our subprocessors — you instruct the connection directly and the provider’s own terms apply (see section 4).

4. Third-party integrations

The Service can optionally connect to third-party services at your request, including Intuit QuickBooks (accounting), Microsoft Outlook (calendar) and email delivery providers. When you connect an integration, you authorise the Service to exchange data with that provider on your behalf, and your use of the provider remains subject to that provider’s own terms. You can disconnect an integration at any time from Settings, which stops all further data exchange.

5. Acceptable use

You agree not to misuse the Service, including: attempting to access another business’s data; uploading unlawful, malicious or infringing content; reselling the Service without our agreement; or using it to send unsolicited bulk email.

6. Availability and changes

We aim to keep the Service available at all times but do not guarantee uninterrupted operation. We may update, add or remove features. If we make a change that materially reduces the Service, we will give reasonable notice where practical.

7. Disclaimers

The Service is provided “as is”. It is a record-keeping and workflow tool: it does not provide professional advice, and you remain responsible for your own regulatory, safety, tax and accounting obligations, including the accuracy of quotes and invoices you send and records you push to accounting software.

8. Liability

To the maximum extent permitted by law, we are not liable for indirect or consequential losses, loss of profit, or loss of data caused by events outside our reasonable control. Nothing in these terms limits liability that cannot be limited under the law of England and Wales.

9. Termination

You may stop using the Service and request account deletion at any time. We may suspend or terminate accounts that breach these terms, giving notice where reasonable. On termination we will, on request, provide an export of your data before deletion.

10. Governing law

These terms are governed by the law of England and Wales, and disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
